The American Civil Liberties Union (ACLU) Foundation of Alabama seeks an Operations Administrator who will work across the affiliate to ensure all teams have unparalleled support to perform their objectives; support the Executive Director and Board of Directors; maintain a clean, organized, and supplied office for everyone; and manage the personnel aspect of the office and reporting to the Director of Finance and Operations.  These functions will be performed in order to support the Affiliate’s goal of protecting the liberties that define our democracy.

Primary Responsibilities:

Departmental Support

  • Act as primary support for office technology including MS Office 365.
  • Assist Departments achieve their goals, one example would be sending “Thank You” cards to donors for the Development Department.
  • Any other copying, filing, couriering, or mailing projects as needed.
  • Executive Director and Board of Directors Support
  • Maintain extreme responsibility for the Executive Director’s calendar and provide assistance to support their role.
  • Coordinate with the Board of Directors and ensure they are supported to maintain good relationships with them realizing they are volunteers and need us to support their role.
  • Plan and execute large events, meetings or retreats such as the Board Meetings, Senior Leadership Meetings, and All Staff Meetings.
  • Other duties as directed by the Executive Director or the Board to achieve their goals.

Office Management

  • Maintain Reception area, phone system, and mail reception and distribution.
  • Landlord communication to keep office in working order.
  • Manage the calendaring of office resources, such as collaborative spaces and meeting rooms.
  • Ensure a clean, organized and stocked supplies in the office at all times.
  • Coordinate any functions such as recycling, janitorial, water delivery, or any other such office management function.

Personnel Management

  • Handbook updating as necessary and coordination of outside reviews.
  • Memo and Letter writing.
  • Employee Performance and Employee Benefits management,
  • Recruiting and Hiring process management.
  • Other Personnel functions as directed by the Director of Finance and Operations.


  • Proficiency with office technology and information systems, including databases, online communications, word processing, spreadsheets and video conferencing.
  • Experience exercising discretion and confidentiality with sensitive information.
  • Willingness and availability to work occasional evenings, weekends, and/or overtime as necessary.
  • Willingness and ability to travel throughout Alabama, and occasionally to other states for conferences, training, or necessary work errands.
  • A commitment to the mission and values of the ACLU of Alabama, and to racial justice and civil rights issues and an understanding that these issues are central to overall protection of civil liberties.

  • Ability to communicate quickly and effectively, verbally and written.

Compensation and Benefits:

Salary is commensurate with experience and within the parameters of the ACLU of Alabama: $50,000 - $60,000. Benefits include medical and disability insurance, 401(k) and vacation, holiday, and sick leave.
